DATE: September 18, 2002 PREPARED BY: Captain David J. Main RECOMMENDED ACTION: That the Lodi City Council appropriate an additional $15,200.00 for costs not anticipated for providing temporary office facilities for the current Animal Shelter. BACKGROUND INFORMATION: In August of 2001 the City Council adopted a resolution authorizing the City Manager to enter into a lease agreement to rent temporary office facilities for Animal Services at the Animal Shelter. The amount authorized was $41,000.00. While the temporary offices have been provided, there are associated costs that were not anticipated or higher than originally anticipated. $16,000.00 was originally appropriated for office systems furniture, however the actual cost was $20,104.18, resulting in a cost overrun of $4,104.18. $865.00 was appropriated for providing electrical, phone and dial hook ups. The actual cost for providing these services dramatically exceeded our earlier projection. This resulted in a cost overrun of $6,260.79. Providing handicap access to the temporary offices was not anticipated. The cost to provide handicap access and making it City Code compliant was $4,750.00. Don Flynn -- City Manager, RESOLUTION NO. 2002-190 A RESOLUTION OF THE LODI CITY COUNCIL APPROVING APPROPRIATION OF ADDITIONAL FUNDS TO COVER COSTS ASSOCIATED WITH PROVIDING TEMPORARY OFFICE FACILITIES AND OTHER MISCELLANEOUS COSTS FOR THE CURRENT ANIMAL SHELTER WHEREAS, in August 2001, the Lodi City Council authorized the City Manager to enter into a lease agreement to rent temporary office facilities for the Animal Shelter; and WHEREAS, at that time the City Council appropriated $41,000.00 for the lease of the temporary office facility, and for the purchase of office systems furniture and some additional equipment; and WHEREAS, costs for office systems furniture and providing electrical, data, and telephone hookups were higher than originally anticipated, with a deficit amount of $10,364.97; and WHEREAS, additional costs for providing handicap access to the temporary offices were not anticipated and an additional cost of $4,750.00 was expended to make this facility code compliant; and WHEREAS, staff recommends that the City Council appropriate additional funds in the amount of $15,200.00 to cover the costs mentioned above. NOW, THEREFORE, BE IT RESOLVED, that the Lodi City Council hereby appropriates an additional $15,200.00 to cover costs associated with the Animal Shelter temporary office facilities.
