HomeMy WebLinkAboutAgenda Report - March 6, 2002 E-06CITY OF LODI COUNCIL COMMUNICATION AGENDA TITLE: Adopt resolution authorizing the purchase of a network integrated printer for the Lodi Police Department Investigations Unit using technology grant funds ($13,000) (PD) DATE: March 6, 2002 PREPARED BY: JERRY J. ADAMS, CHIEF OF POLICE RECOMMENDED ACTION: That the City Council authorize the purchase of a network integrated printer from the Xerox Corporation to replace the 6 -year old copy machine currently used by the Department's Investigation's Unit. Pricing for the Xerox equipment will be under the California Communities Purchasing Bid Program agreement. BACKGROUND INFORMATION: The current copier in use by the Investigations Unit is approximately six years old and was a hand-me-down from the Police Records Unit with a history of high usage. This machine to date has produced approximately 400,000 copies and is well past its prime efficiency and usefulness. Xerox has notified us it has been placed on the "End of Life" list and repair parts will no longer be manufactured since it hasn't been sold for 5-10 years. The service contract will not be renewed. The machine no longer makes two sided copies and toner and copy cartridges are averaging over $70.00 per month. In order for detectives to copy multiple page documents they are required to hand feed the machine one page at a time. While efforts have been made to correct this problem, it appears the machine is simply worn out and will be disposed of when the new machine arrives. The following price has been quoted from Xerox using the California Communities Purchasing Program Bid agreement and will save approximately $3,871 from the list price and tax. It is requested that the Lodi City Council authorize purchase of this new network integrated printer which will blend fax, printing, and copying technology into one unit, resulting in a better end product and increased staff efficiency. FUNDING: $13,000.00 from Federal Block Grant Funds for technology replacement. Approved by: Vicky Mie Financel rector cc: City Attorney ,Jerry/ Adams Chief of Police RESOLUTION NO. 2002-46 A RESOLUTION OF THE LODI CITY COUNCIL APPROVING THE PURCHASE OF A NETWORK INTEGRATED PRINTER FOR THE LODI POLICE DEPARTMENT INVESTIGATIONS UNIT USING TECHNOLOGY GRANT FUNDS ------------------------------------------------------------------- ------------------------------------------------------------------- WHEREAS, Lodi Municipal Code §3.20.070 authorizes dispensing with bids for purchases of supplies, services, or equipment when it is in the best interest of the City to do so; and WHEREAS, the copier currently used in the Investigations Unit was transferred from the Police Records Unit, is approximately six years old, and has a high -usage history of approximately 400,000 copies ; and WHEREAS, Xerox has notified the City that the copier is at the end of its life and repair parts will no longer be manufactured; and WHEREAS, staff recommends purchasing Xerox Model No. DC432AS under the California Communities Purchasing Bid Program Agreement in the amount of $13,000.00. NOW, THEREFORE, BE IT RESOLVED, that the Lodi City Council hereby approves the purchase of Xerox Model No. DC432AS, under the California Communities Purchasing Bid Program Agreement, in the amount of $13,000.00.
