AGENDA TITLE: Extension of Radio Maintenance Contract
MEETING DATE: April 5, 1995

RECOMMENDATION: That City Council provide staff direction as to whether to
renegotiate the contract for radio maintenance or prepare bid
documents for bid advertisement.
BACKGROUND: Last year we prepared a comprehensive set of specifications for bids for
radio maintenance. The bid price for maintenance was more than we
were previously paying. Council gave direction to place only police and
fire radios and base stations on maintenance contract, which did provide
some significant savings. Council authorized a one year agreement with Motorola for
maintenance of radios. This agreement is due to expire on June 30, 1995.
We have two options in this regard; 1) we can attempt to negotiate an extension of that bid with
Motorola for another year or two at the same price, or 2) we can again solicit bids for
maintenance. Staff time required to prepare bid specifications and evaluate them will exceed 16
hours, with the process generating additional expense. It is questionable whether or not we can
achieve significant savings by again soliciting bids. Staff requests Council direction in which
way to approach this matter.
