AGENDA TITLE: Approve Request For Proposal (RFP) For Radio System Maintenance Service
And Repair

RECOMMENDED ACTION: That City Council approve staff to proceed with formal request for
proposals for a two (2) year contract for radio maintenance service
and repair for all backbone, emergency and non -emergency radio
equipment (does not include the replacement of batteries and
antennas,) and that the bidder's list be restricted to Motorola factory -authorized service companies.
BACKGROUND INFORMATION: Our radio equipment and back -bone systems are exclusively
Motorola brand and have been serviced by Motorola factory -
authorized technicians since the beginning. In 1997, the City Council
(Resolution No. 97-201), authorized staff to place all radio
communication backbone systems, public safety radio equipment, and mobile radio equipment assigned to
other departments, on to a maintenance contract. The maintenance contract period was for two years with
the option to renew for one additional year. Delta Wireless of Stockton won the radio equipment
maintenance bid in 1997. The contract was extended for one additional year and will expire in December
of 2000.
RFP Format: The request for proposals will ask for one quote to include backbone systems and
mobile radio equipment for a two year period with the option to renew for one
additional year.
Annual Costs: Current radio system maintenance $32.619.00 per year (contract will expire
December 18, 2000.)
Estimated City-wide radio system maintenance contract is $35,000.00 per year.
