HomeMy WebLinkAboutResolutions - No. 2021-67RESOLUTION NO. 2021-67 A RESOLUTION OF THE LODI CITY COUNCIL AUTHORIZING THE CITY MANAGER TO EXECUTE A PROFESSIONAL SERVICES AGREEMENT WITH PACIFIC STORAGE, OF STOCKTON, TO PROVIDE DEPARTMENT SHRED CONSOLES FOR BI -WEEKLY SHRED PICKUP AND CELL PHONE AND HARD DRIVE DESTRUCTION SERVICES WHEREAS, per the City's Record's Retention Policy, once records have reached a certain age and are approved for destruction, the City is no longer required to maintain the records. Records are reviewed annually and need destruction; and WHEREAS, currently departments use antiquated shredding machines that require hours to shred documents, keeping staff from performing the higher level tasks needed to serve residents; and WHEREAS, Pacific Storage is a third -party service that will service and shred contents of consoles bi-weekly, pickup and shred items produced through the annual records retention process, provide additional boxes as requested, as well as pickup, destroy and properly dispose of cell phones and hard drives. IT will have the ability to have the cell phones and hard drives destroyed when needed. Documents from the consoles, boxes, and annual City shred will be shredded on site; and WHEREAS, to improve operational efficiency and better utilize staff time and resources, staff proposes using Pacific Storage Secure Mobile Services; and WHEREAS, the Finance and Revenue divisions have been utilizing Pacific Storage's services since August 2019; and WHEREAS, Pacific Storage has been providing professional, timely and responsive service to the City since that time; and WHEREAS, given the ongoing need for records destruction and the wider scope to include the whole City, it is necessary to enter into a long-term contractual agreement for these services. NOW, THEREFORE, BE IT RESOLVED that the Lodi City Council does hereby authorize the City Manager to execute a Professional Services Agreement with Pacific Storage, of Stockton, California, to provide department shred consoles for bi-weekly shred pickup and cell phone and hard drive destruction services, in the amount of $25,000 for the three-year term; and BE IT FURTHER RESOLVED, pursuant to Section 6.3q of the City Council Protocol Manual (Res. No. 2019-223), the City Attorney is hereby authorized to make minor revisions to the above -referenced document(s) that do not alter the compensation or term, and to make clerical corrections as necessary.
