RECOMMENDED ACTION Adopt resolution approving final budget adjustments for Fiscal Year
201 9 appropriate funds ($1 39,586.31 ).
BACKGROUND INFORMATION:The year-end closing process for each fiscal year takes many
months to finalize all expenditures and journal postings. During the
closing process for Fiscal Year 2Q18-19, additional budget was
needed in both Fleet Services and Transit departments to cover
unbudgeted vehicle repair costs.
Fleet Services provides maintenance to the city's fleet inventory. Budget is projected each year based
upon actual historical expenditures. For FY 2018-'1919, expenses exceeded expectations. Fleet
Services budget was over-expended by $84,751.57, primarily in vehicle repairs; the Transit budget was
also over-expended by $54,834.74, primarily for vehicle (bus) repairs. Fleet Services costs are
recovered through charges to departments for its fleet services. The overage has been collected from
the departments receiving the service, howeverbudget authority is needed. Transit's operational needs
are covered through grants. There is sufficient fund balance to cover Transit's budgetary fleet needs.
Other departments receiving the over spent services were able to accommodate by moving budget
authority between line items within the department.
Staff recommends approving the additional budgets adjustments from the fund balances of Fleet
Services (65055000 .72533) for $84,751 .57 and Transit (60054103.72533) f or $54,834.74.
FISGAL IMPACT: Fleet Services operating expenditures are recovered through charges to
departments; Transit costs are recovered through operational grant programs.
FUNDING AVAILABLE: Fund balance is available in both Fleet Services and Transit to cover the
needed budgetary adjustment.
