AGENDA ITEM
C-4
AGENDA TITLE: Adopt Resolution Ratifying Expenses and Authorizing City Manager to Execute
Change Orders to 2018-2020 Landscape Maintenance of Miscellaneous Areas and
Lodi Consolidated Landscape Assessment District No. 2003-1 ($400,000)
MEETING DATE: December 10, 2018
PREPARED BY: Public Works Director
RECOMMENDED ACTION:
Assessment District No. 2003-1,
Adopt resolution ratifying expenses and authorizing City Manager to
execute change orders to 2018-2020 Landscape Maintenance of
Miscellaneous Areas and Lodi Consolidated Landscape
in an amount not -to -exceed $400,000.
BACKGROUND INFORMATION: On June 6, 2018, Council awarded the contract for 2018-2020
Landscape Maintenance of Miscellaneous Areas and Lodi
Consolidated Landscape Assessment District No. 2003-1 to
Odyssey Landscaping, of Lodi, in the amount of $674,033.
Contract change orders are generally used to formalize changes in construction and maintenance
contracts to add to or subtract from the scope of work. For the past 15 years it has been the City's
practice for Staff to authorize contract change orders as long as the total contract amount stays within the
budgeted appropriation, originally approved by Council.
The City's change order policy (and other financial policies) is currently under review. During the review
period (anticipated to take several months), Staff is requesting project -specific Council action authorizing
the City Manager to execute change orders on construction and maintenance contracts.
This project is not yet complete. The not -to -exceed change order amount of $400,000 is an estimate at
this time. The reason for this request, and the change order amount, corresponds with the option to
execute annual contract extensions originally approved by Council on June 6, 2018.
Staff recommends ratifying expenses and authorizing City Manager to execute change orders to 2018-
2020 Landscape Maintenance of Miscellaneous Areas and Lodi Consolidated Landscape
Assessment District No. 2003-1, in an amount not -to -exceed $400,000.
FISCAL IMPACT: No additional expenditures are being considered beyond the original
appropriation. There is no fiscal impact.
