AGENDA TITLE: Specifications and Advertisement for Bids for System Printer
for Finance Department's Data Processing Division
MEETING DATE: May 1, 1996

RECOMMENDED ACTION: That the City Council approve the specifications and authorize
advertisement for bids for one high-speed line printer for the
AS/400 mid-range system located in the Finance Department's
Data Processing Division.
BACKGROUND INFORMATION: This budgeted printer will replace the department's current
IBM 5225-004 line printer which has been in use for over 16
years.
IBM has notified its customers that, because of the age of the printers, the company will no longer
provide maintenance for the 5225 series. It is therefore recommended that it would be in the City's best
interest to solicit bids for replacement of the unit prior to discontinuation of maintenance and the next
printer failure.

Model quoted shall be new equipment, of latest design and in current production.
Remanufactured or reconditioned equipment will not be accepted. The unit shall be
delivered and installed completely assembled and ready to operate. Upon delivery, it shall
be the supplier's responsibility to provide verification that the product fully meets the
requirements of this specification. Prior to delivery, the printer shall have been completely
serviced with factory -prescribed pre -delivery service. The printer and all components shall
operate conforming to factory intent and in good factory -dealer practice.
The printer is to be covered by factory or dealer 3 -month parts and labor warranty. All
defects shall be corrected by successful bidder or any other factory authorized dealer
designated by the bidder for that printer under standard factory warranty. During the
warranty period the successful bidder shall bear responsibility and costs for necessary
transportation to and from any service or repair facilities. The successful bidder may be
required to supply a similar "loaner" printer at their expense, if any repair work causes the
warranted unit to be out of service for more than one day while under warranty.
Bids will be considered only on equipment specified. Successful bidder shall furnish, at no
additional charge, one Operator's Manual. Original Dealer's Report of Sale and Factory
and/or Dealer Warranty Certificate must be furnished to the City when printer is delivered.
Final acceptance of the unit for conformance with the specifications will be made only at
the Finance Department's Data Processing Division, 212 West Pine Street, Lodi,
California.
The apparent silence of this specification or supplemental specification as to any detail, or
the apparent omission from it of a detailed description describing any point, shall be
regarded as meaning that only the best commercial practice is to prevail, and that only
materials and workmanship of first quality are to be used. Any and all deviations to any of
the requirements of this specification shall be stated on the returned bid. Unless so stated
by the bidder, the City may, at its discretion, assume that all requirements have been met
and may hold the bidder to each and every part of the specification. The manufacturer's
name and model number must be shown on the bid in the designated place. If no
exception(s) or deviation(s) are shown on the bid, the printer will be furnished as specified
herein.
Bidder shall submit, with the bid, current literature and specifications of equipment
proposed.

II. EQUIPMENT SPECIFICATIONS
A. The printer specified below must come equipped with twinax interface for
connection to an IBM AS/400 system.
B. The following equipment has been approved for this bid. Other models
proposed will not be considered.
1. IBM Model 6400-012, with fully enclosed cabinet for noise suppression.
2. Mannesman-Tally Model MT-691TX, with fully enclosed cabinet for noise
suppression.
