HomeMy WebLinkAboutAgenda Report - June 3, 1998 (69)CITY OF LODI COUNCIL COMMUNICATION AGENDA TITLE: Approve Purchase and Standardization of Network Servers MEETING DATE: June 3, 1998 PREPARED BY: Information Systems Manager RECOMMENDED ACTION: That the City Council approve the purchase of a network server ($16,000.00) for the Municipal Service Center Public Works Building, standardize on Hewlett-Packard (HP) as the manufacturer for the City's network servers and allow purchase of network servers without formal bidding for amounts under $25,000. BACKGROUND INFORMATION: The current budget has funds for the replacement of the network server at the Municipal Service Center Public Works Building. This "server" is a 5 -year-old 486 based HP personal computer that is not suited for the demand now being placed upon it. The proposed replacement is a bona -fide server model with the appropriate amount of memory, disc storage, security and redundancy. Staff is recommending that the City standardize on HP servers for ease of administration and maintenance. HP is one of the leading manufacturers in the business and provides a high level of support. All other servers presently in use in the City are HP models which were competitively purchased either through the State California Multiple Award Schedule (CMAS) program or from other resellers. CMAS authorizes purchasing equipment without going to competitive bidding. However, CMAS has not proven to be the lowest price. Staff will solicit three or more informal quotes prior to purchasing network servers. The Information Systems Manager will coordinate all network server specifications and purchases. Dixon Flynn — City Manager CC networkservendoc 05!28198 RESOLUTION NO. 98-72 A RESOLUTION OF THE LODI CITY COUNCIL AUTHORIZING THE PURCHASE OF A NETWORK SERVER FOR THE MUNICIPAL SERVICE CENTER PUBLIC WORKS BUILDING, AND AUTHORIZES STANDARDIZATION OF HEWLETT- PACKARD AS THE MANUFACTURER FOR THE CITY'S NETWORK SERVERS AND FURTHER AUTHORIZES PURCHASES FOR NETWORK SERVERS WITHOUT FORMAL BIDDING FOR AMOUNTS UNDER $25,000.00 ---------------------------------------------------------------- ---------------------------------------------------------------- WHEREAS, Lodi Municipal Code, §3.20.070, authorizes dispensing with bids for purchases of supplies, services or equipment when it is in the best interests of the City to do so; and WHEREAS, the current budget has funds for the replacement of the network server at the Municipal Service Center Public Works Building; and WHEREAS, the current server is a 5 -year -ofd 486 based HP personal computer that is not suited for the demand being placed on it; and WHEREAS, staff recommends standardizing on Hewlett-Packard servers for ease of administration and maintenance; and WHEREAS, HP is one of the leading manufacturers in the business and provides a high level of support, and all other servers presently in use in the City are HP models which were competitively purchased either through the State of California Multiple Award Schedule (CMAS) program, or from other resellers; and WHEREAS, it is also staff's recommendation that the City purchase the HP Network Server in the amount of $16,000.00. NOW, THEREFORE, BE IT RESOLVED that the City Council of the City of Lodi does hereby approve the purchase of the HP Network Server in the amount of $16,000.00; and BE IT FURTHER RESOLVED, that the City Council does hereby approve the standardization of Hewlett-Packard as the manufacturer for the City's network servers and approves purchases of network servers without formal bidding for amounts under $25,000.00.
