HomeMy WebLinkAboutAgenda Report - January 7, 1998 H-03AGENDA TITLE: Retain the Firm of EKONA to Prepare the Plans and Specifications for the Public Safety Building Remodel ($282,000) MEETING DATE: January 7, 1998 PREPARED BY: Public Works Director RECOMMENDED ACTION: That the City Council hire the firm of EKONA, of San Francisco, to prepare the plans and specifications for the Public Safety Building Remodel, authorize the City Manager to execute the appropriate agreements, and appropriate funds in accordance with the recommendation shown below. BACKGROUND INFORMATION: At the Council Meeting of November 5, 1997, the City Council directed staff to obtain a proposal from EKONA for preparation of plans and specifications for the Public Safety Building Remodel Project. The Public Works staff and the City Attorney's office have been working with EKONA over the last few months to finalize an agreement for the preparation of the Public Safety Building Remodel plans and specifications. A copy of this agreement is on file in the Public Works Department and the City Clerk's office. It has been approved as to form by the City Attorney. The cost for providing the basic service is $249,000 plus reimbursable expenses. Reimbursable expenses are normally budgeted at ten percent of the basic service amount. The $249,000 is a not -to -exceed price with billing on a time -and -materials basis. It's critical that this agreement be executed as soon as possible to ensure that the HVAC shutdown can take place in the winter of 1998 and spring of 1999. In addition to the design that will be provided by EKONA, monies need to be allocated for the design of other specialty areas. The total estimated design costs are shown below. • EKONA (basic service) $ 257,000 • EKONA (reimbursable) $ 25,000 • Hazardous Material Analysis $ 5,000 • Furniture/Signage $ 16,000 • Dispatch/Computer/Radio System (allowance) $ 20,000 * • Telephone and Data Cabling (allowance) $ 10,000 * • Range (allowance) $ 6,000 * • Contingency $-25.= Total $ 364,000 *These allowances may not have to be expended depending on the equipment used. Some equipment suppliers provide design at no cost. APPROVED: H. The attached Exhibit A shows the total estimated Public Safety Building Remodel Project cost as it was presented to the City Council at its Shirtsleeve Session of October 21, 1997.
