RECOMMENDED ACTION: Accept improvements under contract for Grape Bowl scoreboard
improvements.
BACKGROUND INFORMATION: On June 6, 2012, the contract for the Grape Bowl scoreboard
improvements was awarded to Gary's Signs, of Lodi, in the amount
of $45,515. The contract has been completed in substantial
conformance with the plans and specifications approved by City Council.
The project consisted of the installation of a permanent scoreboard in the Grape Bowl.
The contract completion date was August 25, 2012, and the substantial completion date was
September 5, 2012. The additional working days were needed to accommodate scheduling issues with
the Daktronics scoreboard technician who was required to complete a portion of the scoreboard wiring.
No liquidated damages are warranted since the scoreboard was supplied by the City. The final contract
price was $47,619.50. The difference between the original contract price and the final cost was due to
minor changes in the field requested by the City. These changes primarily include an upgrade to the
existing electrical panel, additional electrical conduit, and the installation of an additional structural
component to support the sound system.
Following acceptance by the City Council, as required by law, the City Engineer will file a Notice of
Completion with the County Recorder's office. The notice serves to notify vendors and subcontractors
that the project is complete and begins their 30 -day period to file a stop notice requiring the City to
withhold payments from the prime contractor in the event of a payment dispute.
FISCAL IMPACT: A slight increase in Grape Bowl facility maintenance is anticipated for
upkeep of the scoreboard. The sponsorship panels incorporated into the
scoreboard are intended to assist fundraising efforts for further Grape Bowl
renovations. Currently, there are two donors that have committed to purchasing sponsor panels at $3,000
per year.
FUNDING AVAILABLE: This project utilized Parks and Recreation Capital Outlay funds (1212).
