COUNCIL COMMUNICATION
AGENDA TITLE: Approve Specifications and Authorize Advertisement for Bidsfor Continued
Maintenance of Landscape Areas for 2009
MEETING DATE: October 15,2008
PREPARED BY: Public Works Director
RECOMMENDED ACTION: Approve specifications and authorize advertisement for bids for
continued maintenance of landscape areas for 2009.
BACKGROUND INFORMATION: This project provides for the continued maintenance of landscaped
sites in the public right-of-way, public buildings, parking lots, the
Multimodal Station, and the White Slough Water Pollution Control
Facility. Additional sites are being added that include some
reverse frontage areas that have been neglected due to a lack of staffing. The total acreage of this
contract has increased from 40 acres to just over 45 acres and includes 203 sites. Note that this work is
separate from the landscape maintenance locations included in the various Landscape Maintenance
Assessment Districts that have been established in new developments.
This bid consists of three separate groups: Group — Maintenance of Turf and Miscellaneous Landscape
Areas, Group B — Maintenance of Lower Sacramento Road and Adjacent LandscapeAreas, and
Group C — Maintenance of Cherokee Lane and Adjacent LandscapeAreas. The groups may be awarded
separately to multiple contractors or together as one contract.
The level of maintenancewill continue at the current frequency of once a month compared to the weekly
service done prior to budget cuts. This has had a minimal impact on the overall appearance of the sites
and has not significantly increased the number of complaints about the maintenance. The sites are at an
overall acceptable level of appearance.
The specifications are on file in the Public Works Department.
FISCAL IMPACT: This current annual contract is $148,000 which maintains the existing
landscape sites at a frequency level cf once a month.
FUNDING AVAILABLE: The money for this project is appropriated in the 2008109 Operating Budget
(General Fund, Utility and Transit accounts): 102011, 103511, 170403,
170404, 3215036, 3215042, 210801, 125052, 180453, 160652.
