AGENDA TITLE: Adopt Resolution Authorizing Renewal of Support Agreement for
Wide Area Network (WAN) Equipment from WAN/LAN Solutions
Inc., of Roseville, CA ($13,900.00)
MEETING DATE: October 5, 2005
PREPARED BY: Information Systems Manager
RECOMMENDED ACTION: That the City Council adopt a resolution authorizing the renewal of
the annual support agreement for the City's Wide Area Network
(WAN) from WAN/LAN Solutions Inc., of Roseville, CA in the
amount of $13,900.00.
BACKGROUND INFORMATION: In 1998, the City Council adopted Res. No 98-161 and 99-51
authorizing $305,000.00 for engineering, equipment and installation of a wide area network (WAN), which
electronically connects all City facilities. Since that time the WAN has become mission critical and an
essential part of the City's infrastructure, providing the digital pathway over which almost all data
communications are conducted.
WAN/LAN Solutions Inc. (WLSI) has supported and maintained the WAN equipment since it was first
installed by them. WAN/LAN Solutions Inc. is a Tier 1 Platinum Level reseller and service provider for
Cisco and HP equipment and has proven their competence in assisting City staff with maintaining this
critical network infrastructure.
This contract provides both on-site and telephone support for equipment and line issues, targeted four-
hour on-site response time, manufacturer repair or replacement of damaged or defective parts, and
troubleshooting with the telephone service provider on related line problems.
Should the Wide Area Network core equipment fail, the following services would be inoperative or
severely affected:
• Internet access
• Internal Intranet access
• Police contact with Dept. of Justice (DOJ) and San Joaquin County
• Police connection to school sites
• Fire Administration - outside data connection
• E-mail (City Hall, Finance, all inter -office e-mail)
• File and print services
• All wireless access points
• Access to AS/400 financial systems (only accessible via terminal)
• Data communications between buildings
• Council meeting Webcasts
APPROVED:--
Blai g, City Manager
• City's Website could not be updated
• No access to Mapguide, Public Records, or Web -mail
An alternative to not renewing this support contract is to self -insure. There is no in-house expertise to
address maintenance or failures of network equipment. Repairs would be made on a time -and -materials
basis with no guaranteed response time from vendors. Staff is not recommending this option.
FISCAL. IMPACT: This item is budgeted.
