HomeMy WebLinkAboutAgenda Report - July 6, 2005 E-04AGENDA ITEM Eft4 CITY OF LODI COUNCIL COMMUNICATION TM AGENDA TITLE: Adopt Resolution Approving Specifications and Authorizing Advertisement for Bids for Various Street Maintenance Activities, Fiscal Year 2005106, and Authorizing the City Manager to Award or Reject Informal Bids (up to $60,000) MEETING DATE: July 6, 2005 PREPARED BY: Public Works Director RECOMMENDED ACTION: That the City Council adopt a Resolution approving specifications and authorizing advertisement for bids for various street maintenance activities for fiscal year 2005106, and authorizing the City Manager to award or reject informal bids up to $60,000. BACKGROUND INFORMATION: The following material purchases and rental service purchases are needed to perform our annual street maintenance programs which are guided by our pavement management system and are consistent with past practices. 1, Rental of a pavement cold planer recycler at a cost of approximately $18,000 for one month, which is a substantial savings over the weekly cost of $5,000. Equipment rental is driven by not just cost, but availability as there area limited number of companies that rent this type of equipment. Informal quotes will be obtained. 2. Trucking services obtained in the past incurred costs of approximately $65 per -hour per -truck, with an estimated total annual cost of $6,000. The number and duration is dependent on each project and availability of trucks. Informal quotes will be obtained. 3. Lane line painting would be obtained through an informal bid process using the specifications on file. The estimated cost is $30,000. Specifications and a request for a quote will be sent to all local contractors capable of doing sprayable thermoplastic paint. This will allow us to obtain services from multiple sources on an as -needed basis rather than relying on one provider for the entire season. The operating budget has sufficient funds to cover these items. The specifications are on file in the Public Works Department at the Municipal Service Center. FISCAL IMPACT: Not Applicable. FUNDING AVAILABLE: The money for these projects will be coming from the Street Maintenance Account in the 2005106 operating budget. Total Estimate for These Items: $60,000 mes R. WHEREAS, specifications are on file in the Public Works Department at the Municipal Service Center; and WHEREAS, using the informal bid process will allow staff to obtain services from multiple sources on an as -needed basis rather than relying on one provider for the entire season; and WHEREAS, staff recommends approval of the specifications and advertisement for bids for Various Street Maintenance Activities, Fiscal Year 2005-06, and further recommends authorizing the City Manager to award or reject the informal bids up to an amount not exceeding $60,000. NOW, THEREFORE, BE IT RESOLVED that the Lodi City Council does hereby approve the specifications and advertisement for bids for Various Street Maintenance Activities, Fiscal Year 2005-06; and BE IT FURTHER RESOLVED that the Lodi City Council hereby authorizes the City Manager to award or reject the informal bids in an amount not to exceed $60,000.
